PLENIC Group Pte. Ltd. ("PLENIC") is committed to respecting and protecting your personal data.
This Personal Data Policy ("Policy") explains how we collect, use, disclose, store, process and retain (collectively, "process" or "Process" or "Processing") your personal data. By providing us with your personal data, you agree that we may process your personal data in accordance with the Personal Data Protection Act 2012 ("PDPA"), this Policy and any other terms, conditions and policies agreed to by you from time to time which relate to the processing of your personal data.
We may amend or update this Policy from time to time. We will notify you of any changes by posting the latest Policy on our website at http://www.plenicgroup.com/home/policy). Please visit our website periodically to note any changes. Changes to this Policy take effect when they are posted on our website.
How we collect your personal data
In this Policy, "personal data" means data, whether true or not, about an individual who can be identified (a) from that data; or (b) from that data and other information to which we have or are likely to have access. Under the PDPA, business contact information (e.g. full name, business address, business telephone number) is not considered as personal data so long as it is used strictly for business-to-business transactions.
We may collect and hold the following personal data, including:
(a) Name;
(b) Organisation;
(c) Job title;
(d) Address of employment;
(e) Home address;
(f) Phone number;
(g) Email address;
(h) National identification document number (where necessary and relevant); and
(i) IP address (when you visit our website).
We may collect personal data about you when:
(a) you visit our website and leave behind your contact information;
(b) you get in touch with us. That could be filling in forms on our website or corresponding with us by email, phone, post or through our website;
(c) you request a proposal from us to provide you with a service;
(d) you engage us to provide our services;
(e) we consult third parties and/or review data which is available to the public. For example, we may find data on ACRA’s BizFile portal;
(f) you respond to our electronic direct mails (EDMs);
(g) you submit your CV and job application form to us in response to our recruitment advertisements; and
(h) you submit your CV to recruitment firms or job portals, which are in turn forwarded to or retrieved by us.
We presume that any personal data you provide to us is accurate, complete and up to date.
Purposes of Processing
We may process your personal data for one or more of the following purposes:
(a) to supply you with details of our services where you have requested these from us, as part of any pre-contractual steps;
(b) to provide you with the services you have requested from us and to discharge our contractual responsibilities to you;
(c) to manage and administer our relationship with you (which includes, without limitation, conducting due diligence checks and the processing of payments);
(d) to comply with our record-keeping, regulatory and other legal compliance responsibilities;
(e) where you have opted into receiving our marketing communications, to send you our marketing communications;
(f) to process job applications, recruitment and selection;
(g) to respond to any inquiries and/or feedback which you may have;
(h) to send administrative email notifications e.g. security, support and/or maintenance notices; and
(i) any other purpose for which we notify you and obtain your consent prior to processing.
In order to fulfil our services to you, we may disclose some of the personal data you provide us to our associates, representatives, agents, third party service providers, external professional advisors and/or external consultants.
Where required to do so by law, we may disclose personal data about you to the relevant authorities or to law enforcement agencies. We may also disclose your personal data to any other party to whom you authorise us to disclose your personal data.
If you are seeking employment or any other appointment within PLENIC, we may assume deemed consent from you to process your personal data for the following purposes:
(a) to process and assess your application;
(b) to perform background checks, verify your credentials and qualifications as well as to obtain employment references; and
(c) any other purpose relating to any of the above.
Where you provide us with any personal data of third parties, you confirm, represent and warrant to us that you have (a) notified such third party of the terms of this Policy and (b) obtained the necessary consents from such third party that we may process such personal data for the purposes set out above and further in accordance with the PDPA.
Transfer of Personal Data
Where you have engaged us to carry out any work in any jurisdictions outside Singapore, the transfer of your personal data records to these jurisdictions may be necessary to give effect to your instructions and that you request and consent to our so transmitting your personal data outside Singapore. Personal data may therefore be exported to, processed and accessed in jurisdictions whose laws provide a different level of protection, which may not necessarily be comparable to that provided in Singapore.
Where there is a need to transfer your personal data out of Singapore for any of the abovementioned purposes, we will as far as possible ensure that the standard of protection in the recipient jurisdiction is comparable to that of Singapore’s PDPA. If this is not so, we will endeavour to enter into a contractual agreement with the receiving party to accord similar levels of data protection as those in Singapore.
Storing of Personal Data
We will take reasonable care to protect your personal data from unauthorised access, misuse or similar risks.
Retention of Personal Data
We will retain your personal data for as long as is necessary for (a) business needs and/or legal requirements and (ii) the Processing purposes for which your personal data was collected, and any other permissible, related purposes. For example, we may retain (i) project and/or transaction details and correspondence until the time limit for claims arising from such project and/or transaction has expired, or (ii) certain data to comply with regulatory requirements regarding the retention of such data.
When your personal data is no longer needed, we either irreversibly anonymise the data (and we may further retain and use the anonymised information) or securely destroy the data.
Use of cookies, links to external websites and tracking of IP addresses
“Cookies” are small text files created and stored on your hard drive by your internet browser software, in order to hold relevant information about the website you are currently viewing.
